Management Support Specialist (f/m)

On behalf of an international client we are looking for a secretary (f/m) to support the team and managers. The position is based in Heidelberg area.
TASKS
Administrative assistance (e.g. scheduling of meetings, meeting infrastructure like conference room booking, travel management, controlling tasks, etc.) with strong focus on senior management.
• Organization of team and management meetings/events
• Creation & maintenance of meeting calendar, distribution lists
• Manage shared repositories, drives and communities
• Support preparation of presentations
• Act as a contact person for the teams
• Proactive and able to identify and solve problems
• Coordinate travel arrangements and visa applications

SKILLS
• High motivation and service orientation
• Flexible, able to work independently and well structured, and in a proactive manner
• Excellent time management and organizational skills
• Excellent written and verbal communications skills in Business English and German
• Very high level of flexibility, integrity and confidentiality
• A pragmatic problem solver with sound diplomatic and organization skills
• Integrative personality embracing diverse cultures
• Ability to multi-task and work under tight deadlines
• Ability to communicate with all levels of Management internally & externally

WORK EXPERIENCE
• work experience within an international company in administrative positions,
• experience with the support of senior management is a plus
• Experience in working within virtual teams and with managers located remotely and in different time zones
• Excellent Microsoft Office skills
