Personal Assistant to Senior Vice President in Walldorf next to H
On behalf of our client we are looking for an international English and German speaking experienced office support. The position should start asap and initial duration is 12 month.
Tasks:
Manage calendar and inbox of SVP and maintain, prioritize, organize meetings and emails
Overall appointment coordination: prepare meetings, conference calls, video conferences and tele-presence meetings and follow-up on them (organization, room booking, agenda, monitoring of deadlines, etc.)
Travel management & travel planning: booking of flights, hotels, transfers, and obtaining visas; travel expense accounting; invoice control of business travels
Assist with the coordination and scheduling of important customer/partner meetings or internal
and external events (onsite/offsite workshops), including preparation and follow-up activities
Help manage internal meetings, including setting up and structuring meetings, preparing content, recording meeting minutes, and performing follow-ups
Support in presentation preparation (reports, slides and graphic presentations, including also translating), as well as support in preparation of communication such as newsletter, announcement mails, etc.
Creation & maintenance of distribution lists
Manage shared repositories and drives
other administrative tasks, such as planning & coordination of office moves, maintain IT inventory, office supply orders, etc.
Perform all other ad hoc support as needed
Requirements:
• Experience as Secretary Management Assistant on an executive management level; preferably in a large international group
• Experience in working within virtual teams and with managers located remotely and in different
time zones
• Advanced PC software skills are required (Microsoft Office suite: Word, Excel, PowerPoint,
Outlook)
• Fluency in English and German is a prerequisite
