Our client is an international successful IT Company with many opportunities for you. We are looking for a secretary to support our team and projects. The position is based in the Heidelberg area and anticipated start date is the 1st of January 2015.
• Manage calendar of leadership team members, organize meetings and prioritize actions and emails. Provide support managing complex meeting set up’s for all managers
• Plan, organize, and supervise tasks for the Leadership Team such as: room bookings; setting up conference calls, video conferences, ...
• Management of business trips (booking & expense management; Visa arrangements)
• Event management (e.g. All-Hands Meeting, Department Outing, Offsite Meetings)
• Support management meetings (e.g. agenda, meeting minutes, tracking action items)
• General administration tasks, e.g. workflow handling, maintenance of distribution lists, order management, travel planning
• Education as Secretary or a successfully completed mercantile training
• Communicative and stress-resistant personality; you can achieve any delegated tasks in a solution-
• oriented and effective manner
• Able to work on multiple and complex tasks as well as being able to work in a virtual and international environment
• Excellent organization skills and a high level of professionalism and flexibility
• Good communication skills (ability to interact with employees/management of all levels)
• Strong team player who learns and adapts quickly
• Reliable, conscientious and committed
• Experienced with Microsoft Office
• Fluent in written and spoken English
